Refund & Cancellation Policy

1. General Refund Position

QUOTESFLOW AI ROOFING LLC (the “Company”) offers the QuotesFlow platform as a recurring software-as-a-service subscription. Because the value delivered is digital, immediate, and per-use, all fees — including subscription fees, top-up credit pack fees, and any add-on seat fees — are non-refundable once paid, except where: (a) required by applicable Texas or federal consumer-protection law; (b) Company, in its sole discretion, agrees in writing to issue a goodwill refund; or (c) a specific exception described below applies.

2. Subscription Cancellation

• You may cancel your subscription at any time via the in-app billing portal or by emailing legal@quotesflowairoofing.com from the email address on your account.
• Cancellation takes effect at the end of the then-current billing period. You will retain access to paid features until that date.
• No partial-period refunds are provided for mid-cycle cancellations on monthly or annual plans.
• Annual subscriptions are billed up front for the full year and are not refundable on a pro-rata basis if you cancel mid-year. Cancellation prevents auto-renewal at the end of the annual term.

3. Credit Top-Up Packs (Solo plan only)

• One-time lead-lookup top-up packs (currently $19 for 50 lookups, $59 for 200 lookups, and $129 for 500 lookups, or as otherwise offered on the Pricing page) are final-sale and non-refundable once the lookups are added to your account.
• Top-up packs are available exclusively on the Solo plan. Crew and Business plans include unlimited lead lookups and do not require (and may not purchase) top-up packs.
• Top-up lookups do not expire and persist even after you cancel a subscription, provided your account remains open and in good standing.
• Top-up lookups are non-transferable to another organization or user and have no cash value.

3a. Free Trial

Every new signup is granted a one-time free trial: three (3) free lead unlocks plus three (3) free quote drafts, with unlimited AI roof estimates during the trial. The trial does not require a credit card and is not paid; therefore it is not refundable, has no cash value, and is non-transferable. Once consumed, you must subscribe to a paid plan to continue using the Platform.

4. Failed Lead Unlock or Service Outage

If a lead unlock is processed but the underlying property data is unavailable or fails to render due to a verified system error attributable to Company, you may request a one-time credit re-grant by contacting legal@quotesflowairoofing.com within seven (7) days of the event with the lead identifier and timestamp. Company will, in its reasonable discretion, restore the consumed credit. Re-grants are not provided for outages or data quality issues that originate with third-party data providers (such as property-records APIs), changes to public records, or for properties that were correctly returned but did not meet your expectations.

5. Chargebacks & Disputed Charges

Please contact Company first at legal@quotesflowairoofing.com before initiating a card-network chargeback. Initiating a chargeback for a charge that was authorized under these policies may result in immediate suspension of your account, forfeiture of unused credits, and may cause Company to recover associated card-network fees from you. Resolved chargebacks do not entitle you to data export or service restoration.

6. Statutory Exceptions

Nothing in this Refund Policy is intended to waive or limit any non-waivable consumer right you may have under Texas or federal law, including any non-waivable right under the Texas Business & Commerce Code. If a refund is required by law, Company will issue the refund using the original payment method within a commercially reasonable time.

7. How to Request a Refund

Send an email to legal@quotesflowairoofing.com from the email address on your account that includes (a) your account email, (b) the date and amount of the charge, (c) the transaction or invoice ID, and (d) the reason for the request. Company will respond within ten (10) business days. Approved refunds are credited to the original payment method within ten (10) additional business days.

8. Account Termination by Company

If Company terminates your account for breach of the Terms of Service or the Acceptable Use Policy, you forfeit all unused subscription time and unused credits and are not entitled to any refund. If Company terminates your account for reasons unrelated to your breach, Company will refund the pro-rata unused portion of any prepaid subscription fee.
